Conditions | Booking

The choice is yours. For each tour, you can choose between our Gold and Platinum packages. In either case, you will receive the full communications package and the opportunity to present yourself, your services and your products to industry players.

From the second tour onwards, you will receive a 50% discount on the individual price of this and all subsequent tours, regardless of the package.

It pays to book early: from August 11th, we will have to charge a 50% late booking fee.

Gold exhibitors:

  • Present your products and services live at the stand for the tour participants, with a short Q&A session afterwards. Moderated by the tour guide.
  • Approx. 10-minute stay at your stand
  • It is possible to distribute giveaways while guests are at the stand!
  • Communication of the BVDW Guided Tours incl. email marketing, event website, social media promotion
  • You will be listed on the DMEXCO website, the BVDW website, in the tour brochure and on digital screens at the BVDW stand and linked if possible.

FAQ Exhibitor

How do we book the Guided Tour as exhibitors?

You can use our online form to sign up for one or more tours. You also indicate whether you want the respective tour to end at your company. If so, you book the Platinum Package. When booking, you provide your company details, billing information and contact details for the contact person. The Guided Tours team will then contact you.

What is required of the exhibitor after booking?

After booking, we will contact the specified contact person and ask them to provide us with information for the tour guides’ briefing. We will request the following information:

  • Please let us know your hall and stand number!
  • Is there a meeting point/reception desk? Where should the group go?
  • Who will be the speaker? (Name, position)
  • Short company profile
  • In one or two sentences: What will be the title/content of your presentation/performance?
  • If the speaker does not speak German, please let us know.
  • Will there be a different contact person for the organization on site than in previous communication? If so, please provide us with the name, email address and mobile number.
When will the invoice for the guided tour be issued?

The invoice for the Guided Tour will be issued a few weeks before the conference begins, as soon as the planning of the tours has been finalized. The invoice is to be paid within 7 days. If a PO number or order code is required for the invoice, you can enter it when booking under Billing Information.

 

Do exhibitors receive a briefing?

Yes. All exhibitors will receive a briefing with information on the following points:

  • the most important key data at a glance (name of the tour, date, time)
  • exhibitors of the respective tour
  • timing of the tour | time slots of the exhibitors
  • technical information
  • recommendations for the content of your presentation
  • Guided Tours Procedure
  • tour guide
  • contact details of the Guided Tours team

The briefing will be sent to the exhibitors as soon as the planning for this tour is complete.

Do we agree with the tour guide in advance?

We use the information you provide us with after booking to put together a compact briefing for the tour guides. Ideally, you should already include important information for the tour guide here. After the tour guides have received their briefing, the Guided Tours team will introduce the exhibitor to the tour guide by email. If the tour guide or you as an exhibitor need further clarification, all parties can contact each other directly.

Are the tours technically equipped?

Yes. All tour guides are equipped with transmitters and microphones. The exhibitors’ speakers are also equipped with microphones. This means that the participants can always understand what is being said clearly via headsets without being disturbed by the background noise at the trade fair.

FAQ Tour Guide

How do you become a tour guide?

For each tour, we are looking for experts to guide participants to the exhibitors. Employees of our member companies are preferred. However, if we do not find what we are looking for among our member companies, we are of course open to entrusting the task to people outside the BVDW. If you are interested, please contact us by email at dmexco@bvdw.org. We look forward to meeting you!

What are the tour guide's tasks?

Tour guides lead the participants on a tour to the three exhibitors. At the beginning of the tour, it is advisable to introduce the participants to the topic of the tour. Of course, the tour guide can also introduce themselves and their company. Between the stations, the route can be used to give a sneak peek of the company of the next exhibitor. Information for this will be provided in the briefing.

Are the tour guides briefed?

As soon as the tours and exhibitors have been finalized and all the information is available, briefings are created for the tour guides. These briefings include information about times, exhibitors and organizational details. The tour guide receives the briefing at least two weeks before the start of the conference.

Do tour guides receive the participants' contact details?

No. This service is reserved for exhibitors. However, if the opportunity arises, you can distribute your business card to the participants at the end of a tour.

Do tour guides get a conference ticket?

Yes. Every tour guide receives a free two-day conference ticket.
